Privacy Policy
What we collect when you visit our website, ask about an appointment or answer one of our ads, why we collect it, and the choices you have. Written in plain English.
Who we are and what this covers
Integrative Massage & Wellness is a massage therapy practice in Los Gatos, California, owned by Beth Panero. In this policy, “we”, “us” and “our” mean the practice.
This policy explains how we handle personal information we collect through:
- our website, integrativemassageandwellness.com (also reachable at its earlier address, integrative-massage-wellness.vercel.app);
- the forms on our website, including the contact form, the new-client offer form and our “Start here” questions;
- appointment requests and inquiries you make by phone, which we may write down;
- the Facebook and Instagram lead forms we use in our advertising.
Appointments are booked through Vagaro, and our ads run on Meta’s platforms (Facebook and Instagram). Those companies handle the information you give them under their own privacy policies, which we don’t control. This policy covers what we receive from them and what we do with it.
Information we collect
We only collect what you choose to give us, plus basic technical information that any website receives. Depending on how you reach us, that can include:
Information you give us
- Contact details: your name, phone number and email address.
- New-client offer form: what you’d most like help with (for example, pain and tightness or stress), your first name, mobile number and optional email. If you choose, you can add where you feel tension and a short note for your therapist. We also keep the offer code we give you, the consent wording you saw and when you submitted.
- “Start here” questions: what brings you in, where you feel it, how long it’s been going on, how soon you’d like to come in and who you’d like to see, with your first name, email and optional phone number.
- Body Explorer notes: the areas you mark and what you describe. These stay in your own browser unless you choose to send them, along with the contact details you add.
- Appointment requests: the service you’re interested in and when you’d like to come in, whether you ask on our website, by phone or through a lead form.
- Communications: messages, emails, texts and call notes when you contact us or we reply.
- Facebook and Instagram lead forms: see the next section.
Information from Vagaro
When you book, Vagaro collects your details and payment information under its own terms and privacy policy. We receive the booking details we need to provide your session, such as your name, contact information, the service, date, time and therapist, and anything you enter in Vagaro’s forms for us.
Technical information
Like any website, ours is delivered by a hosting provider that receives standard technical information when you visit, such as your IP address, browser and device type, and the pages requested. Our ad links can carry campaign tags (such as which ad you clicked), and when you send the new-client offer form we keep those tags and the page that referred you, so we know which ads are working.
About health information
What you tell us about how your body feels helps your therapist prepare. Inquiry and lead-form answers are not medical records, and we don’t ask for medical history through the website or our ads. Please don’t send detailed medical information through a form or message: your therapist will talk with you about your health before your session.
Facebook and Instagram Advertising & Lead Forms
Integrative Massage & Wellness advertises on Meta’s platforms, Facebook and Instagram. Some of our ads include an Instant Form that lets you request information or an offer without leaving the app.
When you complete one of our Facebook or Instagram Instant Forms, Meta collects and processes the information you submit on its platform and makes that submitted lead information available to our business. Meta may pre-fill some fields from your Meta profile; you can review and change them before you submit.
Our lead forms may collect:
- your full name;
- your email address;
- your phone number;
- whether you can visit our Los Gatos office;
- your preferred booking timeframe.
We use this information to:
- respond to your inquiry;
- give you information about the new-client offer you requested;
- help arrange an appointment;
- contact you about the service you asked about, by the contact methods you provided, as the law permits;
- keep internal records of inquiries and appointments.
We receive only what the form submits. We don’t receive your Facebook or Instagram password, your messages, your friends list or other information from your account through these forms.
Authorized staff of the practice can see lead information, and so can service providers who help us run our advertising and follow up on inquiries, when they need it to do that work. We don’t sell lead information.
Because the form is on Meta’s platform, Meta also has the information you submit, and Meta processes it under its own privacy policy and terms, separately from us. Meta also gives us reports about how our ads perform. You can manage how Meta uses your information, and which ads you see, in your Facebook or Instagram settings.
How we use information
We use personal information to:
- reply to your questions and inquiries;
- book, confirm, change and provide your appointments, and prepare for your session;
- manage our services, records and payments;
- provide promotions you ask for, such as our new-client offer;
- provide customer service and follow up on your visit;
- understand which of our ads and pages are useful;
- keep our website and records secure and prevent misuse;
- meet our legal, tax and professional obligations, and for other lawful business purposes.
An inquiry is not a sign-up for marketing. When you ask about an appointment or an offer, we use your details to answer that request. Asking about an appointment does not give us permission to send you unlimited promotional texts, emails or automated calls. If we ever want to send you promotional messages that aren’t about your request, we’ll ask for your permission separately where the law requires it, and every such message will tell you how to stop.
Services we use and how information is shared
We don’t sell your personal information. We share it only with the companies that help us run the practice, as described below, or when the law requires it (for example, to respond to a valid legal request or to protect someone’s safety).
- Vagaro runs our online booking, appointment records and checkout. It handles the information you give it under its own privacy policy.
- Meta (Facebook and Instagram) shows our ads and runs our Instant Forms, as described above.
- Vercel hosts this website and delivers its pages.
- Google Maps: our contact and visit sections show a map only when you choose to load it. When you do, Google receives your visit to that map under Google’s privacy policy.
- Service providers who help us with advertising, inquiries and our website may access information when they need it to do that work for us, and not for their own purposes.
Each of these companies has its own privacy policy, available on its website.
Storage, security and retention
Where your information is kept depends on how you reached us:
- Bookings are kept in Vagaro.
- Facebook and Instagram lead form submissions are kept in Meta’s business tools, and in our own inquiry records when we follow up.
- Messages and requests sent through our website are delivered to the practice. Phone inquiries may be noted in our records.
- Body Explorer notes stay in your browser until you send them or clear them.
Only the practice’s authorized staff, and service providers who need it to help us, can access these records. We use reasonable safeguards for a small practice: information sent through our website travels over encrypted connections, the keys that unlock our records are kept on the server and never in the website’s public code, and access is limited to those who need it. No method of storage or transmission is completely secure, so we can’t guarantee absolute security.
We keep inquiry information only as long as we need it to respond to you, arrange and provide your appointments, honor an offer you requested and keep the business records we’re required to keep. You can ask us to delete your information at any time (see the next section).
Your choices and California privacy rights
You can ask us to:
- tell you what personal information we have about you and give you a copy;
- correct information that is wrong;
- delete your information;
- stop contacting you about an inquiry or offer.
To make a request, call us at (831) 428-1997. We’ll confirm it’s really you, usually by checking the contact details you gave us, and respond as promptly as we can. We may keep information the law requires us to keep, such as payment and tax records, and we’ll tell you if that applies. Requests about your Vagaro account or your Facebook or Instagram data can also be made directly to those companies.
California residents. California’s privacy laws, including the California Consumer Privacy Act as amended by the California Privacy Rights Act, give additional rights to residents when a business meets the law’s size or data thresholds. Whether or not a particular law applies to our practice, we will honor the requests listed above, and we will not treat you differently for making one. We don’t sell personal information, and we don’t share it with other companies for their own marketing.
You can also control the ads you see from us in your Facebook and Instagram ad settings, and you can choose not to load the optional Google map.
Text messages, calls and emails
If you ask about an appointment or the $25 new-client offer, we may call, text or email you about that request, using the number or email you gave us: to answer your questions, help you find a time, confirm details and follow up. These are individual messages about your request, not a marketing list. Message and data rates may apply. You can tell us to stop at any time by replying STOP to a text, telling us on the phone, or replying to an email.
Appointment confirmations and reminders from Vagaro are sent by Vagaro according to its settings and your choices there.
We don’t currently run a promotional text message program. If we ever do, we’ll ask for your permission separately, and each message will explain how to opt out.
Children
Our website and services are intended for adults. We don’t knowingly collect personal information from children under 13 through this website or our ads. If you believe a child has given us personal information, call us at (831) 428-1997 and we’ll delete it.
Changes to this policy
We’ll update this policy when our practices change, for example if we add a new service that handles your information. The effective date at the top of this page shows when it last changed. If we make a significant change, we’ll note it on this page.
